Vacancy announcement: UBC is recruiting a Project Coordinator

Union of the Baltic Cities (UBC) is the leading network of cities in the Baltic Sea Region with Member Cities from Denmark, Estonia, Finland, Germany, Latvia, Lithuania, Norway, Poland, Russia and Sweden. Founded in 1991 in Gdańsk, UBC is a voluntary, proactive network mobilizing the shared potential of its member cities.

UBC works through seven Commissions: Cultural Cities, Inclusive and Healthy Cities, Planning Cities, Safe Cities, Smart and Prospering Cities, Sustainable Cities, and Youthful Cities.

We are currently looking for an enthusiastic and experienced expert to strengthen our team as a Project Coordinator within project 12th Annual Forum of the EUSBSR-Lithuania 2021”  co-funded by Interreg Baltic Sea Region.
Annual Forum 2021LT will provide a platform to discuss, analyse and plan, with active involvement of all stakeholders, the future of cooperation within the EUSBSR.

The project will contribute to 3 objectives of the Strategy: Save the sea; Connect the region and Increase prosperity as well as the implementation of the European green agenda in the BSR. The 8 specific objectives of this activity are to:

  • contribute to practical discussions around 3 main objectives of the EUSBSR;
  • promote and increase the visibility of the EUSBSR;
  • facilitate networking and cooperation between all EUSBSR stakeholders;
  • discuss how the EUSBSR could contribute to green and digital recovery after COVID-19;
  • encourage more active involvement of civil society (in particular youth), businesses, regional and local authorities;
  • explore and draft ideas for the future collaboration within EUSBSR;
  • provide a gender, age-group and geographical balance in the event’s program;
  • draft communication framework discussing the Forum’s achievements and agreements.


Forum will be organised by consortium of 4 partners: Kaunas City Municipality, Kaunas IN, Union of the Baltic Cities (UBC) and Klaipėda City Municipality, in close cooperation with Ministry of Foreign Affairs of the Republic of Lithuania, European Commission and INTERREG BSR programme.

Responsibilities

  • coordinating the tasks assigned to the UBC according to the Project Work Plan in cooperation with other partners;
  • participating in Project Partners meetings and keeping regular contact with all project partners;
  • preparing UBC Networking spaces (two sessions for the total duration of 6h) in coordination with UBC Secretariat and Member Cities;
  • designing the programme and moderation of Networking Village (total 3h of programme);  
  • preparation and briefing UBC speakers for discussions if necessary;
  • advocating for the UBC visibility, recognition and positions;
  • supporting office in communication tasks within the project;  
  • other administrative tasks connected to the Project including reporting;  
  • flexible working schedule with frequent flights included is mandatory;

Qualifications and experience

  • Higher education, preferably background in Political Science
  • Knowledge of the EUSBSR and its governance structure
  • At least 5 years of experience in European projects
  • Being involved in policy dialogues with key EU stakeholders such as European Commission or European Parliament for at least 5 years
  • At least 5 years of experience in moderating policy dialogue and events such as panel debates and workshops
  • At least 5 years of experience in preparing and running policy events
  • Previous work with international organisations in policy and project initiatives will be considered as asset

Terms of appointment

The selected candidate is expected to start preferably on 5th August 2021. The appointment is planned to be full-time for 5 months, with a possibility for prolongation.
